Issue: Vayle is a Canadian company that offers Freedom of Information Request workflow software that is the most widely used by municipalities and police forces in Ontario. This software has been in use for over 20 years. It is currently being modernized with the input of a group of the most tenured FOI coordinators across the Province. The City of Ottawa has been invited to participate in the process. The outcome of this process with be an FOI software solution that is the standard for Ontario municipalities. I.e. a solution that is custom designed with the collective wisdom of FOI experts from across Ontario. To engage in this process the City of Ottawa would need to make a one year commitment that falls well within departmental guidelines. No need for an expensive and time consuming RFP. Unlike the multiyear (5 years?) commitment that is estimated to cost 5x more per year being offered by a US based competitor. Of course, if the City of Ottawa goes ahead with Vayle's pilot engagement they would preserve their rights to go ahead with an RFP.
